JOB SUMMARY:
The Senior Accounts Receivable Specialist will be responsible for managing the full cycle of accounts receivable activities in a fast-paced environment. This includes invoicing, payment collections, credit management, and resolving payment discrepancies. The ideal candidate will ensure the timely and accurate collection of outstanding customer balances while maintaining positive customer relationships. A key aspect of this role involves working closely with the sales and billing departments to ensure that all transactions are properly documented and resolved efficiently. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work independently as well as part of a team.
KEY RESPONSIBILITES:
- Invoice Management: Generate and distribute accurate customer invoices, ensuring adherence to payment terms and company policies.
- Collections: Follow up on outstanding payments through direct communication with customers and ensure timely receipt of payments.
- Customer Account Management: Maintain and monitor customer accounts, ensuring proper application of payments, credits, and adjustments.
- Credit Management: Assess customer creditworthiness, set credit limits, and make recommendations for payment terms.
- Discrepancy Resolution: Investigate and resolve payment discrepancies, disputes, and unauthorized deductions.
- Reconciliation: Reconcile accounts receivable transactions, ensuring accuracy and timely adjustments where necessary.
- Month-End Close: Assist in the month-end closing process, including preparing aging reports, account reconciliations, and financial reporting.
- Cross-Department Collaboration: Work closely with the sales, billing, and customer service teams to ensure accurate invoicing, dispute resolution, and timely payment collections.
- Internal Controls: Maintain and improve AR processes to ensure compliance with internal controls and financial regulations.
- Auditing: Provide support during internal and external audits by supplying necessary documentation and explanations of AR activities.
- Reporting: Prepare and analyze AR aging reports, cash flow projections, and other financial metrics as required.
QUALIFICATIONS:
- Education: At least a diploma in Accounting, Finance, or a related field (required).
- Experience: Minimum of 5 years of experience in accounts receivable, with at least 2 years in a senior or lead role.
- Technical Skills: Proficient in accounting software (e.g., SAP, Oracle, or similar ERP systems) and Microsoft Excel.
- Attention to Detail: Strong attention to detail and accuracy in handling financial transactions.
- Communication Skills: Excellent verbal and written communication skills for interacting with customers and internal departments.
- Problem Solving: Strong analytical and problem-solving skills, particularly in resolving payment discrepancies and customer disputes.
- Time Management: Ability to prioritize tasks, meet deadlines, and work under pressure in a dynamic environment.
