JOB SUMMARY:

The Project Controller is a critical operational partner who brings structure, insight, and discipline to ASTOUND’s project financials. This individual will own cost forecasting, track budget health, and work cross-functionally to identify risks and margin protection strategies early — all while navigating tight timelines, evolving scopes, and complex production realities.

This role is hands-on and embedded in our project teams. You will be responsible for understanding the full lifecycle of our projects — from estimating through detailing, procurement, production, and install — and aligning cost decisions with real-time project execution. Your goal: maintain margin, minimize rework, and ensure teams are working with accurate data at all times.

KEY RESPONSIBILITES:

  • Own the forecast of final project costs across all phases, proactively identifying when actuals deviate from plan and collaborating with PMs to action corrections.
  • Support and drive timely submission of change orders when scope, timeline, or vendor costs shift — ensuring client billing keeps pace with execution.
  • Understand project contracts, including T&Cs, exclusions, and client-specific cost rules, to guide decisions and flag risks.
  • Partner with Estimating, Procurement, and Detailing to validate scope, cost assumptions, and material strategies early in the workflow.
  • Reconcile estimated vs. actual costs weekly across multiple jobs, ensuring consistent reporting cadence and margin visibility.
  • Escalate budget pressure points and overages in real-time and propose data-backed corrective actions.
  • Maintain accurate project financials in ERP tools (NetSuite, Salesforce) — ensuring costs, change orders, and invoices align to the latest scope.
  • Support revenue recognition, accruals, and forecasting in collaboration with Finance.
  • Lead post-project margin reviews to extract cost insights, build benchmarks, and reduce future variance.
  • Serve as a daily bridge across Project Management, Procurement, Estimating, and Production — facilitating alignment, transparency, and shared accountability.

QUALIFICATIONS:

  • 5–8 years in project controls, job costing, or financial operations within high-velocity industries like events, experiential, architecture, or fabrication.
  • Experienced in navigating ambiguity, evolving scopes, and tight client timelines — and still delivering clarity and control.
  • Strong grasp of project lifecycles — understands how estimating assumptions evolve, how vendor costs affect margin, and how install realities drive change.
  • ERP-fluent: NetSuite, Salesforce, Airtable, or similar. Strong Excel and comfort working in live reporting environments.
  • Confident in leading financial conversations across creative, technical, and production teams.
  • Exceptionally organized, responsive, and solutions-oriented.
  • Able to thrive in a fast-paced, entrepreneurial environment with competing deadlines and evolving priorities.
  • Passionate about getting ahead of problems, not just reporting on them.
