JOB SUMMARY:

The Site Services Coordinator supports Project Managers by conducting service research, creating project timelines, and handling administrative tasks like site binder creation. They assist in placing and confirming I&D and field service orders, ensuring professional, timely, and cost-effective service delivery. The coordinator builds and maintains a network of vendors, responds to inquiries, recommends cost-saving strategies, and tracks important site service and labor information. They initiate payment requests, approve invoices, and follow internal procedures. A proactive and resourceful approach is essential, with creativity and flexibility to achieve project goals effectively.


KEY RESPONSIBILITIES:

  • Assists Project Managers with service research, project timeline creation, and other administrative activities related to site services (e.g. creation of site binders)
  • Assists Project Managers with placing I&D and field service orders upon approval
  • Follows up on field services orders for confirmation
  • Establishes and maintains network of contacts among service contractors/vendors
  • Responds to incoming calls as required from internal staff and external vendors
  • Ensures quality service delivery and professional standards in a timely and cost efficient manner
  • Recommends cost-saving measures to team
  • Helps to track down show information and other site service/labor information, vendors and resources
  • Maintains a proactive approach to all responsibilities and future projects
  • Initiates RPO’s and payment requests, approves invoices (with support/feedback from Manager and appropriate PMs) and follows internal payment procedure
  • Relies on experience and judgment to plan and accomplish goals
  • A wide degree of creativity and latitude is expected


QUALIFICATIONS:

  • Coordination & Administrative Skills – you have top coordination and administrative skills, including a high degree of competence working with Microsoft Office
